Fee, Cancellation & Refund Policy
Transparent guidelines regarding payments, subscriptions, and our commitment to your financial security. This policy forms part of the Mizan Academy Terms and Conditions.

1. Automatic Recurring Payments
1.1. Mizan Academy uses an automatic recurring payment system. Fees are payable monthly in advance and are automatically charged to your provided Visa/Mastercard on the agreed date each month, until your subscription is cancelled under Section 3.
1.2. By enrolling and providing a payment card, you authorize Mizan Academy to securely store your payment method (via our payment processor, Stripe) and to use it for the recurring charges described in this policy. Card details never touch our own servers.
1.3. Your plan, price, and billing date are confirmed to you by email at enrollment. That email, together with the Terms and Conditions, forms your service agreement.
1.4. It is the family's responsibility to ensure the payment card on file is valid and has sufficient funds, and to update the card promptly when it changes or expires.
2. Fees Accrue While Classes Are Delivered
2.1. Fees are payable for every month in which classes are scheduled and made available to your student(s), regardless of the status of your payment method.
2.2. Attendance is acceptance. If your student attends classes in a given month, that month's fee is due in full — even if a payment did not process, a card failed or expired, or billing was paused for any reason.
2.3. Non-payment does not cancel your subscription and does not stop fees from accruing while classes continue. Only cancellation under Section 3 stops fees.
3. How to Cancel
3.1. You can change or cancel your subscription at any time by giving written notice at least one (1) month before your desired cancellation date.
3.2. Cancellation notice is valid only when sent in writing to an official channel:

3.3. We confirm every cancellation in writing within 3 business days, including your final class date and final billing date. A cancellation is effective only once we have sent this written confirmation. If you do not receive confirmation, your request has not been processed — please contact us again.
3.4. Fees remain payable for all classes delivered up to the confirmed cancellation date, including the notice period.
3.5. Mizan Academy may, at its discretion, waive part or all of the notice period.
4. What Is NOT a Cancellation
For clarity, none of the following cancels your subscription or stops fees from accruing:
- Stopping, pausing, or failing to make payments
- A declined, expired, blocked, or replaced payment card
- Verbal statements to a teacher (teachers cannot process cancellations)
- Not responding to our messages, or blocking our communication channels
- Reduced or stopped attendance while classes remain scheduled for your student
- A request to "pause," "hold," or "change card" (see Section 5)
If you intend to cancel, say so in writing under Section 3 — we will always honor a valid cancellation.
5. Pausing Billing or Classes
5.1. If you ask us to pause billing (for example, to change your payment card), the pause applies to billing collection only — it does not pause your subscription, your classes, or the accrual of fees while classes continue.
5.2. Any billing pause lasts a maximum of thirty (30) days. If a new payment method is not provided within 30 days, classes are suspended until payment is restored, and all fees accrued to that point remain due.
5.3. Pausing classes (travel, holidays, or family circumstances). If you wish to pause classes, request an approved leave in writing to an official channel. During an approved leave your teacher and your time slot are held for you and are not offered to any other student. For this reason fees continue in full for the whole period of the leave, and remain payable until the subscription is cancelled under Section 3.
If you prefer not to continue paying during a long absence, you may cancel with one month's notice under Section 3. Your teacher and time slot are then released to another family, and on your return you re-enrol with whichever teacher and time slot are available at that time.
5.4. Approved leave is a reservation, not a suspension of fees. An approved leave reserves your place; it does not pause billing. Every approved leave continues to be charged at the full monthly rate until the subscription is cancelled under Section 3.
6. Failed Payments & Suspension Timeline
6.1. If a recurring payment fails, we notify you, retry the charge, and send a secure link to update your payment method.
6.2. If payment is not restored:

6.3. Suspension for non-payment is not a penalty against the student — it protects both sides, and classes resume immediately once payment is restored.
7. Outstanding Balances
7.1. Unpaid fees for delivered classes are a debt owed to Mizan Academy. We may issue a formal invoice for the outstanding balance, payable within 30 days.
7.2. Saved-card authorization for owed fees. By accepting these Terms, you authorize Mizan Academy to charge your saved payment method for fees owed for classes already delivered, provided that we first send you written notice of the amount and the intended charge at least seven (7) days in advance — giving you the opportunity to pay by other means, agree a payment plan, or raise any question before any charge is made.
7.3. We are always willing to agree reasonable payment plans for families in difficulty. Contact us — silence is the only thing we cannot work with.
8. Refunds
8.1. Fees for classes already delivered are non-refundable.
8.2. If Mizan Academy cancels a class and cannot offer a make-up session, the corresponding portion of fees is credited or refunded.
8.3. Refund requests must be made in writing within 30 days of the charge in question. Genuine billing errors are always corrected in full.
9. Institutional Rights
9.1. Mizan Academy reserves the right to cancel or reschedule classes. In such events, families are notified in a timely manner through our official channels, and Section 8.2 applies where no make-up can be offered.
10. Billing Questions & Disputes
10.1. If you believe any charge is incorrect, contact us first at info@mizanacademy.org within 30 days. We respond within 3 business days and immediately correct any genuine error, including a full refund where warranted.
10.2. Our records — enrollment and acceptance logs, class delivery records (including Microsoft Teams session records), invoices, payments, and communications — may be used to resolve any billing question or payment dispute.
10.3. Initiating a bank chargeback for fees owed under this policy without first contacting us is a breach of the Terms and Conditions. The Academy will contest such disputes with its records and reserves the right to suspend services and decline future enrollment until the matter is resolved.
